Title: I phone/outlook & googlemail help Post by: Luci on Thursday, October 15, 2009, 18:25:24 Right, I have now set myself up with GoogleMail since I'm fed up of hotmail which now also means I can use it on my iphone.
I have Outlook 2007 which I am using Googlemail via, however I thought that when I created inbox sub folders in Outlook, it would automatically populate and update googlemail online also. I also thought that if I delete emails on Outlook, they would automaatically be deleted from googlemail online also since I thought Outlook was basically a desktop way of working. If I delete from outlook, they are still there on googlemail so what I need to know is whether I need to not only arrange my emails in outlook, I also need to access googlemail online and delete them from there also (as otherwise the iphone access shows far too many emails)? I've managed to sync my iphone contacts into my address book on Outlook also so thats fine, but I want to also sync my googlemail contacts which I imported from hotmail to Outlook. I know how to do it but Im worried that if I do this, I will have duplicate contacts because the i phone contacts have phone numbers only and the googlemail contacts have emails only - is there a way of merging them or do I just need to go through and erase duplicates? Also, if theres any other good things you can do or syncs etc. please let me know so I can try them out. I want to do the fixtures to iphone calendar and outlook calender too. I've never been able to get the Google Mail syncing properly, I think the problem is that it never deletes anything - so you delete an email in Google Mail on your local mail client or iPhone but it still stays there in Google Mail. I had problems when I included Google Mail contacts with my sync as well - everything got duplicated and I'm having to go through and sort the mess out that got created. At least you only have to do it once, everything should be fine after the first time. IMAP will do automatic 2 way syncing i.e. if you create subfolders or delete emails in Outlook the changes are also done within Gmail. POP doesn't do this, it just obtains copies of the emails on your local machine.
I don't use my Gmail account or use Outlook anymore, but it looks straightforward enough. If you change the Gmail settings in Outlook to IMAP instead of POP then it'll work.
I assume the same for the iPhone. EDIT: and yes turn off POP3 in Gmail unless you're going to get emails via POP3 on another device but it doesn't really matter I don't think. It depends on the settings you use with pop and what you do with the messages with imap. If you use pop you should be able to set it to delete the messages from Google Mail after download. And if you use imap if you delete the message it should get deleted. The real issue is that Google Mail works differently than pretty much every other mail client there is as it doesn't actually delete a message when you delete it - it moves it to another folder and keeps it permanently. Which is stupid behaviour if it isn't what you want it to do. Having said that, it's possible Luci's problems are due to an issue with the settings - if the messages are staying in the inbox on Google Mail after download and deletion through Outlook. Check the settings on the iPhone and make sure you do a manual refresh to get the latest state. You always have to go in to and sync subfolders on the iPhone, it doesn't do it automatically. When I create a new folder and move messages to it within Outlook, it copies the same thing in gmail. Dunno what the problem is then. If you follow the settings from the link it should work perfectly.
Sort out Outlook first and deal with the iPhone afterward. Now, I can't import my contacts into the calendar as it cant find my bloody excel document! Otherwise they get removed from the inbox in gmail but not from the 'all mail' folder so you'll eventually have loads of old emails clogging it up. Thunderbird is better because you can tell it where to delete emails to (the bin folder) but Outlook doesn't give you this option. Thunderbird is free and is from the people who bought you Firefox. Not necessarily a bad idea but no other mail client works like that and it's just confusing.
It's all about getting a setup you're happy with that works for you. Mine is a bit complicated as I've got 6 mail accounts, use my iPhone and Mac Mail for day to day stuff then archive everything in Mac Mail. Google really are gay for not deleting emails properly. Information is power and all that. :) Besides email is soon to be dead. There's a new standard in communication coming town, Google Wave. That's something special.
Incidentally a while back i moved from Outlook to Thunderbird. It's quite amusing how much better a free product is over a supposed premium one. Especially when you add things like lightening and what not. |
